The Vendor is required to provide event planning services for include:
1. Full event production
• Develop and manage comprehensive event plans and timelines
• Establish and track event budget
• Coordinate all event logistics from concept to execution
• Oversee vendor selection, contacting, and management
• Serve as primary coordinator with event staff
• Provide monthly planning and status updates to the authority board
2. Event committee engagement and support
• Coordinate event committee meetings and provide updates as needed
• Support the event committee in development and management
• Support the event committee in outreach and engagement efforts
• Provide communication tools and materials
3. Marketing and communications
• Develop event branding
• Oversee design and production of collateral material (digital and print)
• Coordinate with the authority public relations retainer on messaging
4. Fundraising support
• Support sponsorship development strategy and materials
• Track donor data
• Updated the authority board on donor and sponsor tracking
5. Event staffing
• Provide staff or volunteers for on-site event management
• Develop run-of-show and program flow
• Manage attendee and vendor experience from arrival to departure.
