Event Video and Audio Services

The Vendor is required to provide events a year at various sites on campus and off-campus that require comprehensive video and audio production services in support of broadcast programs and high-level VIP events.
- These productions typically have discrete requirements based on the program or performance needs, this to identify vendors that can supply all components and services to support the program and production efforts in a manner that aligns with the needs for the department of University.
- Audio-Visual/Media Equipment and /or Services under, but is not limited to, AV solutions to include cameras, microphones, speakers, streaming equipment, cabling, networking equipment, camera mounts, administrator and end-user operations.
- Must provide professional audio and visual services to the University on an “as needed” basis to support the University on various events. Events will include programs that are held indoors and outdoors in both conventional and non-conventional spaces.
- The setup of all equipment will be temporary, and the installation operation, maintenance, and removal of all equipment will be executed so as to not cause structural damage or visible changes to the various campus sites.
- Provide a schedule of estimated personnel and hours, to include all necessary cartage and labor for load-in, set up, strike and load-out. Contractor’s crew will include all personnel necessary for the event.
- Work with University staff and other providers of technical services to facilitate the setup for a successful program.
- Interact and consult as required with other team members providing staging, pyrotechnics, cryo, and other services; as well as other production elements as applicable.
- May be required to make a minimum of one site visit prior to the setup of each program to determine staging positions and other logistical parameters.
- Provide PPE for all on-site personnel, including, but not limited to: vests, hard hats, and any required harnesses and equipment as required.
- Must employ, train, and supervise an adequate staff, specialists, and technicians to provide efficient, dedicated, prompt and courteous service to University. Staff and management must be qualified with the technical and business expertise necessary for all events.
- Must ensure all staff adhere fully to University safety regulations in execution of the Services and must maintain a safe working environment.
