Commencement Photography Services

The Vendor is required to provide for commencement photography services
- Services include:
• Agency typically hosts one commencement ceremony in December with approximately 500 graduates and three commencement ceremonies in May with approximately 1,250 graduate’s total. All ceremonies are held indoors.
• Provide agency a list of graduates who walked at the ceremony and include student ID number and graduate contact information that was collected on name cards. Information should be provided in an Excel spreadsheet.
• Must arrive at least 1.5 hours prior to the start of the commencement ceremony.
• Agency will supply a list of graduates, including agency email addresses and home addresses on file, one (1) week prior to the ceremony.
• Should send photo proofs to graduates within five (5) days following the commencement ceremonies. Supplier must notify agency if proofs cannot be sent within that timeframe. Supplier to provide high-resolution digital images available for purchase/download through an online gallery to graduates.
• Compensate agency for each graduate photographed during the commencement ceremonies. Payment must be received within sixty (60) days following the ceremonies.
• Must confirm photographer staffing a minimum of two (2) weeks prior to the commencement ceremonies. Agency prefers that at least one of the same photographers attend each ceremony to ensure familiarity with the ceremony setup and flow.
• Must be able to provide name cards for commencement ceremonies. Will be approximately 500 cards for winter commencement and 1250 for spring commencement.
• Provide software capable of displaying graduate names on venue screens as graduates walk across the stage. This technology should be integrated with graduate name cards.
• During the ceremony, no more than three (3) photos should be taken of each graduate. Photographers should also photograph all master’s and doctoral degree candidates during the hooding portion of the ceremony (this would serve as a fourth photo)
