The Vendor is required to provide entertainment and production service providers to provide strategic entertainment consulting, talent procurement, production coordination, and event support that enhances the guest experience across the Zoo's special events program.
- Entertainment Consultation and Talent Procurement
• Collaborate with Zoo staff to determine entertainment appropriate for each event.
• Recommend talent based on event objectives, audience, budget, and theme.
• Provide cost estimates.
• Confirm artist availability.
• Negotiate and execute performer agreements.
• Serve as the primary liaison between performers and the Zoo.
• Coordinate performer arrival schedules, parking, load-in, credentialing, and Zoo-specific requirements.
• Ensure all required music licensing, performer licensing, royalties, or other intellectual property rights associated with performances are properly secured and documented. Where the Zoo maintains applicable blanket performance licenses, the Contractor shall coordinate with the Zoo to ensure compliance.
- Event Production Services
• Provide creative recommendations to enhance the guest experience.
• Recommend staging, lighting, sound, audiovisual, décor, and production elements.
• Develop production budgets.
• Coordinate production schedules.
• Subcontract and manage production vendors as necessary.
• Coordinate labor requirements.
• Coordinate load-in, rehearsals, performances, and load-out with Zoo staff.
