The Vendor is required to provide a hosted, web-based media monitoring and media relations management platform, along with related implementation, support, and training services.
- The solution must enable the University to manage, monitor, measure, and report on its public relations and communications activities through a single, integrated system.
- The system shall support media research, press release distribution, news monitoring, reporting, measurement, and analysis across traditional, digital, and social media channels.
- Provide a 100% web-based, hosted solution, requiring no client-side software installation, and inclusive of all necessary support to implement, configure, and maintain the system.
- Provide unlimited media monitoring services, delivering coverage electronically in near real time across designated market areas (DMAs), to include at a minimum:
• Online news outlets
• Print publications (full text or image-based access)
• Blogs and digital publications
• Broadcast television and radio (where available)
• Mainstream social media channels
- Provide University-wide copyright protection, allowing unlimited internal distribution and sharing of monitored content, including the ability to:
• Distribute reports to University leadership and stakeholders who do not maintain individual user accounts
• Embed or reference monitored articles or stories on University-managed websites and internal platforms in compliance with licensing requirements
- Provide real-time media measurement and analytical tools capable of reporting on, at a minimum:
• Reach or circulation metrics
• Visibility or impact indicators
• Prominence or tone/sentiment analysis
• Share of voice and comparative benchmarking
• Messaging or topic trend analysis over time
- Provide customizable dashboards and reports, including electronic clip books, coverage summaries, and automated news briefings that may be generated and distributed on demand or on a scheduled basis.
- Maintain a comprehensive and continuously updated media database at the local, regional, national, and international levels.
- Provide global online media monitoring, inclusive of a broad range of news and web-based sources, with the ability to refine searches by geography, topic, organization, or keyword.
- Provide access to a publicity or media opportunities database, which may include editorial calendars, awards opportunities, and relevant industry or association events.
- Provide detailed journalist and outlet profile information, integrating:
• Contact details
• Coverage history
• Topic or beat focus
• Prior engagement or activity history (where applicable)
- Provide press release distribution tools that allow users to:
• Create, manage, and maintain media lists within the system
• Distribute press releases directly from the platform
• Personalize outreach communications at scale
- Provide the ability to track press release engagement, including indicators such as message opens, link clicks, or other interaction metrics, where legally permissible.
- Provide tools to monitor online and social media conversations that reference or discuss the University, its programs, or designated topics in near real time.
- Provide topic-based monitoring and discovery capabilities, including the use of natural language processing or equivalent methods to identify journalists or outlets actively covering designated subject areas.
- Provide collaborative contact and relationship management functionality, allowing authorized users to share media lists, notes, and engagement activity across departments or projects.
- Provide custom reporting and analytics capabilities, with outputs suitable for executive and leadership presentations, including visualizations such as charts and graphs, and reporting available at the:
• Department level
• Campaign or project level
• Press release level
• Outlet or journalist level
• Individual user level
- Provide the ability to archive media coverage in its entirety for multiple years and allow ongoing access for retrospective analysis, trending, and comparative reporting.
- Provide a minimum guaranteed system uptime of ninety-five percent (95%), excluding scheduled maintenance periods.
