The Vendor is required to provide event planning and management services for include:
- Project management
• Prepare and maintain a project schedule identifying key tasks, milestones, deliverables, and anticipated meeting dates necessary to complete the project.
• The schedule shall be updated periodically throughout the project as needed.
• Designate a project manager who will serve as the primary point of contact for the city and will be responsible for managing all project activities, coordinating consultant staff and sub-consultants, monitoring progress, and ensuring timely completion.
- Community engagement events
• National walk & roll to school day
• City council themed walks
• City nature and open space themed walks
• Community mobility themed walks
- Publicity and marketing materials
• Develop an 8.5” x 11” promotional poster advertising walktober events
• Develop a 4” x 6” postcard version of the promotional graphic
• Print and distribute a minimum of 250 postcards to local businesses, community organizations, and public locations
• Develop digital graphics suitable for websites, newsletters, and social media platforms
• Develop individual promotional graphics for each scheduled walktober event, including dates, times, and captions for each graphic
• Create and maintain event webpages and online event listings (i.e., eventbrite) in coordination with city staff
• Coordinate and place paid media, as appropriate, through local publications, websites, and other media outlets.
• Optional: design, produce, and distribute walktober-branded bandanas or other promotional giveaways, if feasible within the approved project budget.
