The Vendor is required to provide crisis communications and strategic communications firm to provide crisis communications, media relations, reputation management, and emergency communications support services for the town.
- Crisis communications and strategic communications support services, including but not limited to:
1. Crisis response and media relations
• Respond to media inquiries concerning crisis communications and emergency situations
• Assist with media inquiries on non-crisis matters as requested
• Develop communications strategies to minimize misinformation and reputational risk during crisis situations
• Draft press statements, talking points, media advisories, faqs, and other communications materials for approval by relevant town officials
• Coordinate distribution of media materials to appropriate local, regional, and national media outlets
• Executive messaging support and spokesperson preparation
• Serve as town spokesperson or public information officer support when requested, including evenings and weekends
• Assist with on-site media coordination during emergency or high profile situations
• Support communications coordination across town departments and partner agencies during incidents
2. Social media monitoring and digital communications
• Assist with social media communications during emergency situations, including drafting updates and recommended responses
• Monitor social media activity, public sentiment, and emerging narratives during crisis situations • employ technology and monitoring tools for social listening, misinformation tracking, trend analysis, and issue forecasting
• Recommendations for digital communications response strategies during rapidly evolving situations
3. Crisis preparedness and strategic communications
• Assist with development and refinement of crisis communications protocols and response procedures
• Strategic counsel regarding reputational issues, emerging risks, and sensitive public matters
• Conduct media training, spokesperson coaching, and interview preparation for town representatives as requested
• Assist with scenario planning, tabletop exercises, and communications preparedness activities
• Participate in post incident evaluations and after action communications reviews
• Support stakeholder, employee, partner, and community communications during major incidents or disruptions.
