The Vendor is required event manager services will be responsible for the administration of events, including coordination and record-keeping.
• Manage event-related logistics for a variety of interior and exterior events at boathouse, including, but not limited to parties, professional meetings, weddings, cocktail receptions, and special dinners. Ensure smooth functioning of events by coordinating all event logistics including facility tours, bookings, catering, outside vendors.
• Collaborate with the Arts, Culture and Tourism Department to coordinate events as booked. Act as on-site coordinator for renters. Supervise on-site staff at events.
• Maintain processes and systems for event tracking, financial and legal documents (permits, rental agreements, deposits, fees) related to rentals, including coordination with City staff.
• Coordinate events calendar between the city, University of New Haven, CDBI (dba New Haven Community Boating) and rental bookings.
• Work closely with vendors, support staff and other necessary parties to ensure set-up of meeting/event rooms, adherence to schedule and comfort of guests.
• Coordinate marketing and email blasts to generate additional bookings. Ability to work evening and weekend hours as required.
