The vendor is required to provide move management services for coordinating inventory, packing, labeling, carting all items that are located within the buildings to the new locations and placing the items in the correct spaces.
- Requirements
• Planning and logistics
o Walk-through each of the buildings with the district representatives
o Create a master plan, to include schedule and phasing of each school/building
o Create and maintain move matrix for each school/building
o Conduct an average of (4) move meetings for each of the affected schools/buildings
o Prepare agendas and minutes for each move meeting
o Conduct one move seminar for each school/building
o Create mover scope of work document and coordination with movers
o Coordinate meetings to communicate move plan and schedule with t h e d i s t r i c t r e p r e s e n t a t i v e s and the affected district department head
o Supplement support to identify and tag furniture for new middle schools that require MS furniture
o Facilitate weekly meetings with the district representatives, project team and provide agenda and meeting minutes
• Packer coordination
o Hire appropriate packers and coordinate with the district (create job descriptions, conduct interviews, etc.)
o Conduct packer training and create packer "boxes"
o Create packer instructions and to-do lists for each school/building
o Create packing sign-up sheets for staff at each school/building
o Conduct daily check-ins with each lead packer
o Oversee packing initiative
• Move implementation
o Re-label boxes after staff assignments are determined by the district’s representatives
o Walk-through schools and buildings to verify readiness prior to each relocation
o Create and hang temporary signage to support moving activities
o Provide on-site supervision during each move for each school/building
• Packing services (vendor will hire appropriate packers and coordinate with the district)
o Require drug testing, background checks and district badging
o Attend packer training orientation conducted by vendor
• Assumptions
o V e n d o r will create the master plan and be responsible for schedule creation and plan implementation
o The district will provide floor plans
o Relocations will take place during normal business hours
o There are (7) schools/buildings included in the scope of work
o Vendor will provide packers to support the re-labeling of boxes
o The district will provide equipment needed for packing (boxes and tape)

o FF&E design and procurement
o Construction administration
o Interior design
o Packing materials (move labels to be included in fee)
o Dumpsters
o coordination/packing/moving of chemicals
o Coordination and supervision of new furniture handling
o Relocation and management of laptops, computers, copiers and any other IT equipment.
