The vendor is required to provide employee learning management system (LMS) that will manage and track the training required by employees for the college’s human resources office.
- The needed features/functions of this software should include the below features.
- Banner ERP integrations:
• The LMS must integrate with Ellucian banner for employee and position data and support ethos API integration with at least a once-a-day connection between banner and the LMS.
• The system must support linking within Ellucian experience, so employees can access training through our portal.
- Employee data:
• employee data imports must include multiple fields such as employment status (fulltime, parttime, faculty, adjunct, non-credit instructors), position titles, organization codes, supervisor, hire date, etc. managers must have access to view their direct reports training progress and receive updates when employees are overdue with a training assignment.
• Managers must have the opportunity to recommend/assign trainings to their direct reports.
• Managers must have the ability to elect if they want to give delegate access to view reports to their administrative assistant.
- Training content:
• Content must be available as part of the LMS.
• Course library shall include courses such as bloodborne pathogens, driver safety, forklift safety, CPR/AED, PCI (payment card industry), van safety, utility cart safety, campus security authorities (CSA), hazardous materials, and campus hazing.
• The LMS must have the ability for college to update or customize the pre-built courses.
• A content creation designer must be included so subject matter experts (SMES) can quickly build a course based off a video and PowerPoint presentation.
- In-person workshops:
• The LMS must support in-person workshops and should be a centralized area where employees can register for both in-person and on-demand trainings.
- Calendar views/dashboards/outlook integration:
• The LMS must provide a unified calendar view of upcoming trainings.
• When employees register, there must be microsoft outlook-friendly calendar invitations generated.
• It must allow for a waitlist when a course fills up and move employees into enrollment status automatically after someone else cancels their registration.
- Reporting:
• The LMS must have various reporting capabilities such as status view showing all employees who have completed training within a specified date or based off overdue status for assigned training.
• The LMS must provide college with a training record of all courses completed by an individual.
- Training reminders:
• The LMS must include automated outlook email reminders that are sent when due dates are approaching and when items are overdue.
• These email reminders shall copy the employee’s supervisor.
• The LMS must have capabilities for allowing an approval workflow on training registrations based off the course.
- Training and learning paths:
• Learning paths must be available so that a series of courses can be combined to create a learning path and that once an employee completes that path, a certificate is then issued. ex. college needs to be able to group together a leadership development series, so that employees can track their progress in completing that series.
• The LMS must allow for the college to add external learners (nonemployees) to the platform.
- college administration:
• The LMS must allow for college administrators to proxy or impersonate employees to help troubleshoot.
• College administrators must have the ability to roll over training plans/assignments based on an annual date.
