The vendor is required to provide to implement a new software-as-a-service (SaaS) order management system.
- Project management
• The contractor will be responsible for providing overall coordination and management of the project including governance support, schedule management, risk mitigation, project communications, and quality assurance.
- Needs assessment and discovery
• Analyze and verify existing documented system procedures, functionalities, and securities.
• Identify and document gaps.
• Document future business processes workflows.
• Develop and maintain requirements register.
• Conduct interviews and meetings with pace stakeholders.
- Implementation
1. Build
• Pace expects the contractor and pace staff to work collaboratively on building the system.
• All activities related to system configuration for the online store front, fulfillment processes, and back-end processes, interface development, report creation, or other system build tasks should be included in this stage
2. Knowledge transfer
• The contractor will be responsible for ensuring pace’s core team has sufficient knowledge and understanding of the software to properly take part in the project and subsequent system and business process design discussions.
• Activities to be undertaken include but are not limited to:
a. Documentation
b. Training
3. Testing
• Throughout the testing process, pace expects to partner with the contractor to assist in the creation of pace specific testing scripts and aid in the execution of a formal test plan.
• The test plan will be jointly developed by pace and contractor during the discovery phase.
• Activities include, but are not limited to, testing approach, roles, and responsibilities for testing, and clear deadlines and expectations around testing effort.
4. Go live and support
• At time of go-live, pace expects the contractor will develop and deliver end-user training, cutover plan, and assist with the transition to the new product.
• Additionally, a 30-day postimplementation hyper-care support shall be included.
