RFP Description

The Vendor is required to provide Enterprise Resource Program (ERP) Services in the market, showcasing staff on how an ERP integrates and manages core business processes to streamline operations and improve data accuracy across an organization.
- Recruitment:
•    Applicant Tracking System (ATS) functionality, including job posting, application management, and candidate communication.
•    Integration with job boards and social media platforms.
•    Ability to track recruitment metrics (e.g., time-to-fill, cost-per-hire).
- Onboarding:
•    Automated onboarding workflows, including electronic document signing and task assignment.
•    Ability to create customized onboarding plans for different employee roles.
•    Integration with other HR modules (e.g., payroll, benefits).
- Performance Management:
•    Performance review and goal-setting functionality.
•    Ability to track employee performance metrics and provide feedback.
•    360-degree feedback capabilities.
•    Ability to track performance improvement plans.
- Time and Attendance Tracking:
•    Accurate tracking of employee work hours, including regular hours, overtime, and leave. This tracking includes both exempt and non-exempt employees.
•    Integration with time clocks and mobile devices.
•    Ability to generate time and attendance reports.
•    Ability to record time using multiple labor codes across legal entities, and departments for specific projects and tasks for grant reimbursement.
•    This tracking is expected to include exempt and non-exempt employees.
- Payroll Processing:
•    Automated payroll calculation and processing.
•    Tax withholding and reporting capabilities.
•    Direct deposit and check printing functionality.
•    Ability to handle multi-state payroll.
- Benefits Administration:
•    Enrollment and management of employee benefits, including health insurance, retirement plans, and paid time off.
•    Integration with benefits providers.
•    Ability to generate benefits reports.
- Training and Development:
•    Ability to track employee training progress and certifications.
•    Integration with external training providers.
- Certification Tracking:
•    Ability to track professional certifications, licenses, and renewals.
•    Automated alerts for expiring certifications.
- Employee Self-Service Features:
•    Employee access to personal information, pay stubs, and benefits information.
•    Ability to request time off and manage personal data.
•    Mobile accessibility.
- Integration and Reporting:
•    Robust reporting and analytics capabilities, including customizable reports and dashboards.
•    Seamless integration between timekeeping, payroll, and accounting.
•    Ability to export data in various formats (e.g., Comma-separated values (CSV), Excel).
- General Ledger:
•    Comprehensive general ledger functionality, including chart of accounts management and journal entry processing.
•    Ability to track and reconcile financial transactions.
•    Ability to perform period-end closing.
•    Ability to handle multiple legal entities.
- Accounts Payable (AP) (Purchase Order [PO] and Contract Capabilities):
•    Automated invoice processing and payment management.
•    Vendor management.
•    Ability to generate AP reports and analytics.
•    Ability to perform electronic payments.
•    PO creation, tracking, and matching functionality.
•    Contract management capabilities, including tracking contract terms, renewals, and compliance.
- Accounts Receivable (AR):
•    Customer invoicing and payment processing.
•    Credit management and collections.
•    Ability to integrate with cash receipting to apply payments.
•    Ability to generate AR reports and analytics.
•    Ability to handle recurring billing.
- Cash Receipting:
•    Ability to record and track cash receipts from various sources.
•    Bank reconciliation functionality.
•    Ability to handle electronic fund transfers.
- Asset Management:
•    Tracking of fixed assets, including acquisition, depreciation, and disposal.
•    Fixed asset Inventory management including integration with maintenance scheduling for preventative maintenance for federal, state, and local reporting.
•    Inventory management to keep track of all fixed assets and consumables.
•    Including software, leases, and subscriptions.
•    Ability to generate fixed asset reports.
•    Ability to track asset maintenance.
•    Ability to incorporate tracking of non-fixed assets into points listed above, as needed.
- Budgeting:
•    Budget creation and management capabilities.
•    Forecasting and financial modeling tools.
•    Ability to track budget vs. actual performance.
•    Ability to perform rolling forecasts.
•    Ability to handle multi-level and multi-legal entities budgets.
- Repository (Document Management):
•    Centralized repository for storing and managing financial documents.
•    Document scanning and indexing capabilities.
•    Version control and audit trail functionality.
•    Secure document access and permissions.
- Timekeeping and Payroll (Job Costing):
•    Integration with timekeeping systems to capture employee work hours for payroll.
•    Payroll processing capabilities, including tax withholding and reporting.
•    Job costing functionality to track labor costs associated with specific projects or tasks for grant reimbursement.
•    Ability to generate job costing reports.
•    Ability to integrate information into HR time and attendance.
