The Vendor is required to provide a software or service solution that will enable the board to streamline planning, enhance real-time incident response, and improve targeted and crisis communication both internally and externally.
- Through the payment of premiums, more than 159,000 employers fund this no-fault system to provide compensation for workplace injuries and occupational diseases to more than 2 million workers.
- Solution will replace the existing planning, incident management and emergency communications currently in existing tools such as MS Teams, Word/Excel, Clarity and NetSupport Notify.
- Tool that operates outside our core environment ensuring we can effectively respond even if our networks or systems are compromised.
- A cloud-based, independent solution will allow key stakeholders to access plans, coordinate responses, and communicate effectively, ensuring quick recovery and continued delivery of critical board services, through any business disruption.
- The solution will deliver and centralize the following:
• Emergency management
• Crisis management and communication
• Business continuity
• Disaster recovery
- Planning
• A Business Continuity program launched in 2022 to identify critical processes, define recovery requirements, and develop operational plans. It is currently using existing tools like MS Teams, Word/Excel, and Project Zone to manage program activities. However, these tools require heavy administration and limit actionable insights.
• In 2024, a Crisis Response & Business Continuity (CRBC) working group was established to drive a more integrated response strategy across emergency management, crisis communication, business continuity, and disaster recovery. Board discovered that plans and exercises have been conducted in silos in the past, using different tools and approaches.
- Provides a unified platform for planning, incident management & crisis communication that will reduce silos and increase coordination across response areas.
- A tool independent of board ecosystem will strengthen resiliency, giving board the ability to quickly access and activate plans if internal systems are disrupted.
- Provide real-time insight and coordination of teams / plans to minimize chaos and enable faster recovery.
- Built-in capabilities to manage business impact analysis, plan updates, and automate workflow will reduce plan maintenance and program administration efforts.
- Holistic views on impact/ risk analysis, post incident action planning, and program health monitoring providing valuable insights.
- Immediate, targeted, and consistent messaging across multiple channels to impact teams, leadership and interested parties, providing minimal confusion, downtime and reputational risk.
- Provide support for the installation and configuration of the proposed solution, including establishing connections to integrated systems.
- The solution should be capable of integrating with established alerting and incident management tools (such as PRTG, xMatters, Control-M, etc.) and leverage existing operational and on-call support processes to ensure continuous system availability.
- Operating System (OS) Patching: The solution should be compatible with enterprise OS patching processes and tools, allowing for regular updates without disrupting application functionality.
- Application Patching: The Service Provider should provide timely application patches (e.g., security updates, bug fixes, enhancements) in a format that allows internal IT teams to coordinate and manage installation according to organizational change management procedures.
- The solution must provide robust and on-demand audit logging capabilities that capture and store a comprehensive record of user actions and system events.
