The Vendor is required to provide supplying gifts for long service recognition gifts and online platform services.
- The total number of 25 and 35 year honourees is expected to average between 200 and 400 each year. There were 298 honourees eligible for long service gifts in 2025.
- Provide 25-year ($250) and 35-year ($350) gift catalogues of roughly 50 options per recognition year with a variety of categories including but not limited to jewelry, home, art, travel and technology products.
- Provide a description and clear image of each item proposed to be included in the catalogue.
- Gift prices should be as close to $250 and $350 as possible (not including delivery costs).
- Provide customer support to honourees that have questions about gifts, their order, or repairs.
- Event and Communication Support
• Advertise the annual ceremony and banquet via the online platform.
• Manage RSVP functionality and tracking through the online platform.
• Send targeted communications to honourees, including:
• Invitations to honourees
• Reminders for pending RSVPs or gift selections
• Event details for attendees
• Survey and photo download instructions post-event
- Timeline Requirements
• Online platform, invitations, and RSVP system must be ready by mid-May each year.
• The online platform to support gift ordering must be open to honourees in summer and close in October.
• Gift deliveries should be sent to honourees periodically as gift orders are received
• A manual ordering process must be in place for honourees that missed the deadline on the online platform or are unable to access the online platform.
- Review and determine which gift options are acceptable and approve any updates to the catalogue annually before the online platform goes live.
- Provide communication messages for emails and the online platform.
