RFP Description

The Vendor is required to provide to procure a cloud-based, enterprise-level course evaluation and feedback management system.
- Course evaluations are the primary institution-wide survey tool used to gather student feedback on teaching and learning. 
- The existing system has proven to be limited in usability, flexibility, and integration capabilities.
- The new solution should provide advanced customization options, seamless integration with Canvas LMS and Banner SIS, automation of survey workflows, real-time analytics, and an intuitive interface for administrators, faculty, and students. 
- The goal is to enhance the College’s ability to design, distribute, manage, and analyze course evaluations efficiently and effectively, supporting continuous improvement and student success.
- Evaluation & Survey Creation
•    Fully customizable survey builder with support for:
o    Dynamic content (e.g., merge fields like course name, instructor name).
o    Conditional logic and question branching.
o    Multilingual survey delivery.
•    Creation of course evaluation or survey with different, appropriate functionalities for each
•    Handling of modular, cross-listed, and team-taught courses.
•    Support for anonymous and non-anonymous feedback collection.
- Survey Management & Automation
•    Automated survey scheduling aligned with academic calendar.
•    Configurable notifications and automated reminders by role.
•    Real-time dashboards to monitor participation and response rates.
- Reporting & Analytics
•    Automated report generation based on user role (instructors, chairs, deans).
•    Drill-down capabilities to course and instructor levels.
•    Customizable templates with filters by department, term, and course.
•    Longitudinal analytics to track trends across semesters.
•    Export options including PDF, Excel, and interactive dashboards.
•    Comparative analysis tools to benchmark instructors or departments.
- Branding & Customization
•    Ability to apply institutional branding across surveys, reports, and portals.
•    Custom landing pages for departments or academic units.
•    Flexible evaluation forms tailored to departmental needs.
- Communication & Notifications
•    Customizable email templates for invitations, reminders, and closure notices.
•    Trigger-based communication workflows (e.g., low response alerts).
•    Integration with institutional email systems or SMTP support.
- Performance & Scalability
•    Reliable performance during peak usage periods (e.g., end-of-term evaluations).
•    Capable of supporting multiple campuses and departments.
•    Multitenancy or separation by department if required.
