RFP Description

The vendor required to provide virtual career fair platform must include enough licenses to accommodate up to 4 events a month that can be scheduled at any time, including concurrently.
- Platform features
1. Administrative capabilities
•    Ability to customize the branding of the event into 3d using logos or custom images and custom background images to represent a given region or season 
•    Ability to change or customize terminology within platform (to include prompts, error messages, and menu tabs) 
•    Ability to make announcements to the fair in its entirety 
•    Access of the platform 24 hours a day, 7 days a week
•    Full access to the event site and backend site links 
•    Access to creating, storing, and restoring login information for exhibiting businesses 
•    Access to restoring login password information for jobseekers 
•    Ability to arrange booths and customize halls and at minimum 6 pavilions 
•    Access to a space where administrator can share via webcast an outside meeting link to do live dol presentations and answer questions 
•    Ability to immediately remove content and user from the live event 
•    Ability to track and export job seeker and visitor registration data in real time
o    All data and information exported from the platform must be available in english. 
o    Ability to access visitor information including but not limited to registration and login timestamps and uploaded resume links
•    Ability to save and reuse previous event materials 
•    Integrated with analytics (ability to analyze event data) and participant behavior during live event 
•    Customizable and dedicated registration page that allows for automatic notification to administrator about job seeker and employer registration details.
2. Employer capabilities
•    Ability for businesses to customize the branding of their booths (ex: business logo, artwork, avatar booth representative...etc.)
•    Customizable booth content (ex: job posting information, company links and information, job applications, webcasts, and other marketing material such as videos or pdf documents) 
•    A space where businesses can share via webcast an outside meeting link to do live company presentations and answer questions 
•    Ability to hold face-to-face interviews with prospective candidates within the platform via video chat or via outside video meeting link 
•    Ability to hold open forum chats or posts, and individual private chats between business and prospective candidates 
•    Customizable and dedicated registration page that allows for automatic notification to administrator about employer registration details and automatic notification to employer confirming registration. 
•    Ability to track and export interested job seeker registration data including first name, last name, resume, registration date, email, county of residence, highest level of education completed, list of current certifications, employment area of interest, and other uploaded documents 
•    Ability to save or download business and jobseeker chats
3. Job seeker capabilities
•    Ability to search jobs by keyword search, employment type (full-time, parttime), workplace type (remote, in-person, hybrid) company, industry, or county 
•    Ability to participate in open forum chats or posts, and individual private chats with business 
•    Must have a customizable registration page feature for both businesses and job seekers that covers important information fields.
•    Ability to upload resume, cover letters, and other professional documents at time of registration 
•    Customizable and dedicated job seeker registration page that allows for automatic-notification to administrator about job seeker registration details and automatic-notification to job seeker confirming registration 
•    Ability to view a history of booths visited and job applications completed 
•    Ability to access chat conversations for at least 24 hours post live event
- Technical specifications
•    Cloud-based
•    Cross browser compatible
•    Accessible across all device types, including desktops, laptops, tablets, and smartphones
•    The live event site must have main menu page with direct entry to the information stand, the various pavilions within the fare, the webcast schedule, and job postings page
•    3d virtual platform
o    To include 3d avatars, buildings or otherwise floorplan layout similar to that of an in-person event
o    Multiple exterior and booth design choices to give each event a unique look where needed
•    Dedicated job postings page that encompasses all the jobs posted by the businesses within the event 
•    Customizable information booth containing videos and content including logos, artwork, links, social media sites, videos, webcasts, and downloadable pdfs and word documents
o    Ability to have 10 staff to be logged into the information booth simultaneously to assist job seekers and businesses navigate the event
•    Live webcast or webinar feature (unlimited number of webcasts)
•    Integrated text and video chat feature
o    Integrated text-based chat between businesses and candidates or business to business
o    Platform should auto-save all text conversations held during the event so they can be reviewed at a later time even after exiting the platform
•    Unlimited number of businesses and booths for each event
o    Ability to have ten (10) business representatives and staff at each booth
o    Ability to view and access a list of businesses signed into the event and businesses not signed into the event
•    Unlimited number of job seekers for each event
•    Ability to receive notification of business registration via email
•    Supply integrated analytics of participant behavior during live event
•    Language translation capabilities
o    Language translation in both the platform’s main contents and chat feature (available in all languages available and at minimum the 13 required languages below):

•    Americans with disability act (ADA) accessibility compliant including features that enable users to toggle on and off the selected features below, to be used individually or combined:
1. Content adjustments
o    Content scaling which makes the whole content of the page larger or smaller 
o    Readable font which changes the font of all the text on the page to make it easier to read making it slightly bolder and larger 
o    Text magnifier when you hover over the mouse it will magnify 
o    Font size adjuster which gradually increases or decreases the size of all the text in the page 
o    Line height adjustment which gradually increases or decreases the space between two lines of text 
o    Letter spacing adjustment which gradually increases or decreases the space between letters in a text 
o    Alignment adjustments which move all the text to the designated side o highlight titles which draws a rectangle around titles on the page to make them easier to detect 
o    Highlight links which draws a different colored rectangle on clickable text (links)
2. Color adjustments
o    Dark contrast which changes all the colors of the fair to black and orange for high contrast 
o    Light contrast which changes the colors to white background with blue text 
o    Monochrome which sets the whole fair to black and white 
o    High saturation which increases the saturation of the already existing colors in the fair 
o    High contrast which increases the contrast of the colors 
o    Low saturation which dims the colors down 
o    Text, title and background color adjustments in which the color of the text, title(s) and background will change to the one selected among the given options and they can be used individually or combined
3. Orientation adjustments
o    Mute sounds which will mute any sounds integrated in the fair such as notifications from the chat 
o    Hide images which when activated will hide all the images and logos around the fair 
o    Read mode which will turn the page into text-only on plain background, removing all images and animation. 
o    Reading guide which inserts a blue bar that moves around with your mouse to aid with reading. 
o    Stop animations whereby all the moving elements will stay static including the 3d home page entrance 
o    Reading mask whereby the screen darkens leaving only a lighter rectangle that moves with your cursor 
o    Highlight focus which draws an orange rectangle on whatever you hover your cursor over 
o    Large black or white cursor which changes your default mouse cursor to a larger one of the selected color.
- Security features
•    Ensure confidentiality and protect jobseekers’, business users’ and agency information when accessing the virtual platform sites 
•    Security measures must be in place to prevent third party access 
•    ITs must be involved to ensure the confidentiality of our business and job seeking customers is secure and will not be accessed or shared by third parties. 
•    The privacy policy must identify what data is collected from the users and how it is used. 
•    Controlled access to individual job seeker information including limiting business access to select job seeker information fields 
•    Platform will not access nor integrate state network systems but instead will have the capability to allow customer to save required information using unique identifiers.
