RFP Description

The vendor required to provide enterprise asset management software which includes software, implementation services, training, and technical support from a single vendor to serve community services departments and transform its asset and lifecycle management with a hosted system that will maximize operational efficiency, simplify cataloging of data and inventorying of assets, support optimization of asset useful life, and provide critical data and evaluation tools for budgetary considerations.

- Required capabilities
1. Asset management
•    Ability to create asset inventories and track asset attributes
•    Assets contain performance curves to track asset conditions, criticality, and useful life
•    Document inspection results which impact asset conditions
•    Setup preventative maintenance schedules on assets and trigger work based on asset conditions, time, and usage
•    Ability to create custom assets
•    Associate assets to requests and work
•    Ability to provide asset financial and replacement analyses for planning and budgeting purposes
2. Work management
•    Create and complete work on both assets and non-assets
•    Easily create, assign, prioritize, and complete work activities
•    Roll-up of work activities for project level costing and tracking
•    Project activities with their cost, to maximize the lives of assets
•    Auto notification via email related to assigned and completed work
3. Resource management
•    Ability to track labor, equipment, and materials costs
•    Allow for multiple labor rates
•    Ability to expense equipment in either time or miles
•    Materials inventory management with quantity on hand and adjustable settings
•    Manage materials based on location
•    Bulk order, order tracking, and material location transfer
4. Mobile and field access
•    Native mobile applications to perform request tracking, work, and inventory assets in the field
•    Native smartphone applications (iOS and android preferred) to perform work and inventory assets in the field
•    Mobile application must be able to create and complete work, enter resources, create assets, and edit existing assets and attributes
•    Define memory requirements to avoid memory issues
•    Offline capability for all mobile applications. 
•    The app imports and exports data into asset management platform
•    Configure data available in application
•    Ability to use a variety of base maps
•    Ability to utilize mobile devices to download and upload data while in the field
5. Reporting and exporting data
•    Standard or configurable reports included.
•    Create and edit reports
•    Allow for export to pdf, csv and excel
•    Ability for field-level queries, sorts, and reports
•    Ability to connect data allowing for queries and development of reports leveraging current GIS data
•    Ability to create maps based on pre-defined or filtered criteria in the software
•    Real-time data updates
6. Data integration
•    Integration of data between various existing databases so that data can be viewed by staff in other divisions without having to log into another system
•    Ability to present various report or query information in GIS
•    Capture and conversion of historical data
•    Interface with existing systems prior to new system implementation
•    Seamless integration with industry leading ERP solutions.
