RFP Description

The Vendor is required to provide to procure and implement a comprehensive student engagement software platform that will serve as the central hub for all student organization activities, event management, and campus involvement initiatives.
- This platform will streamline administrative processes, enhance student participation tracking, and provide robust integration capabilities with existing university systems. The solution must support diverse student organizations including registered student organizations, club sports, academic clubs, departments and special interest groups while maintaining compliance with university policies and procedures.
- The platform will serve multiple stakeholder groups including students, student organization officers, university administrators, advisors, and prospective students, providing each with appropriate access levels and functionality tailored to their specific roles and responsibilities. The platform will need full functionality on desktop and mobile devices, with the user experience being as similar as possible on both types of devices.
- The platform must, if possible, provide seamless integration capabilities through direct integration or Application Programming Interface (API) connections with the systems:
•    PeopleSoft for student information management and enrollment verification
•    EMS (Event Management System) for facility scheduling and space management
•    Navigate for student success and advising coordination
•    Canvas Learning Management System for academic integration and calendar synchronization
•    Fusion for administrative data management
•    Workday or equivalent financial tracking systems for budget management and financial reporting
•    Visix digital display system for campus-wide event promotion and information dissemination
- Calendar Integration Capabilities
•    Microsoft Outlook calendar for staff and faculty coordination
•    Canvas calendar for academic scheduling alignment
•    Online calendar system managed through Marketing and Communications department for public-facing website integration
•    Automated event feed capabilities to populate multiple calendar systems simultaneously
•    Conflict detection and resolution tools for overlapping events or resources
- Recruitment and Admissions Integration
•    Prospective student access to view campus engagement opportunities during recruitment phase
•    Communication channels for outreach to prospective students about organization activities
•    Event attendance tracking for prospective students participating in club or organization events
•    Seamless transition of student data from prospect to enrolled status
- Web Content Management Integration
•    Automated publication of organization information, events, and updates to university website
•    Individual organization web pages with customizable content areas
•    Document repository for meeting minutes, constitutions, and public-facing materials
•    Real-time event feed integration for university-wide event calendar
- Organization Management
•    Active and inactive membership status tracking with historical records
•    Organizational structure documentation including officer positions, commitees, and advisor relationships
•    Electronic election management for officer positions with ballot creation, voting, and result tabulation
•    Customizable forms and workflows specific to individual organization needs
•    Multi-channel communication tools for member outreach, campus-wide announcements, and targeted messaging
•    Ability for users to select different public-facing access levels based on clubs or groups in which they are members.
