RFP Description

The Vendor is required to provide for a vehicle monitoring system, including removal of existing devices, to be installed by the vendor on more than 200 maintenance vehicles, equipment, and board-owned school buses used for student activities and field trips.
- Must remove all existing monitoring system units before installing the new system and units. All units must be accessible through a unified application, dashboard, or platform to ensure uniformity and standardization across the fleet.
- Mandatory system requirements
•    5g network compatible GPS devices.
•    System must display units of measurement in the metric system (meters, kilometers, etc.).
•    The contractor must have service technicians or subcontractors within state, who can swiftly respond to service and installation requests within 5 business days.
•    The devices must be covertly installed and difficult to tamper with.
•    Real time fleet tracking with a minimum one-year historical data for the majority of the fleet and live mapping to aid in dispatching services.
•    Two-year historical data for 50-60 units for the board snow removal equipment.
•    The system must provide real-time alerts, including but not limited to:
o    Over speed
o    Low battery
o    Ignition on/off
o    Possible towing
o    Service schedules
o    Excessive idling
o    Landmark entrance/exit “geo fencing”
o    Excessive acceleration/hard braking
•    System must have reports options, “daily /monthly trip”, idle times, mileage and geofencing.
•    Customizable land marking (school sites, storage yards etc.)
•    The system must provide in cab audible alerts (driver coaching) including but not limited to:
o    Over speed
o    Excessive idling
o    Excessive acceleration
o    Hard braking
•    System must have a driver evaluation/scoring system
•    Ensure secure data recording, encryption, access, transmission and storage compliant with relevant privacy legislation (currently act).
- Provide appropriate training and manuals for drivers and the end user group.
- Data to include, but not limited to:
o    Vehicle speeding within speed limit areas;
o    Top Speeds, real time speeds, speed history;
o    Location;
o    Idle time reporting and analysis.
