- Functional requirements
1. User accounts and roles
• Secure login for all designated users with the board’s internal system, preferably with SSO capability.
• Role-based access with defined permissions: administrator, leader, employee.
• Current state employee bases the board is approximately 600 persons.
• The board expects approximately 80 people would need the role and license as a leader and 3-5 people as an administrator of the platform, with the ability to grow, reassign or otherwise amend the user and license base as required.
2. Recognition features
• Peer-to-peer recognition: employees should be able to nominate colleagues for specific behavior and achievements which are defined by the board.
• Leader-led recognition: leaders should be able to recognize direct reports for milestones, performance, and contributions.
• Public and private recognition: users can choose between public recognition displayed on leaderboards or private notes of appreciation.
• Custom recognition categories: the board will have the ability to create and modify categories based on internal priorities and organizational goals, such as long-term service or delivering exceptional service, etc.
• Recognition without reward: the ability to recognize employee both with and without rewards attached.
• Reward visibility: additional features such as the ability to share acknowledgments on LinkedIn or similar platforms are a desirable feature if the proposed platform supports this functionality.
• Certificates: the ability to generate personalized, signed certificates recognizing milestone achievements such as long-service, retirement, new employee welcomes, etc.
• Boosting: way for others to boost and collaborate on recognition within the platform
3. Gamification features
• Leader boards: display recognition leader boards to encourage healthy competition and transparency in engagement.
• Badges and milestones: implement a system to issue badges or milestones as employees achieve certain levels of recognition, helping reinforce positive behaviors.
• Contests and time-bound events: the ability to run contests within the platform to promote different corporate initiatives, i.e., health and safety week, year-end points and credits bonus, etc.
4. Integration requirements
• Integration with sap Success Factors: the platform must securely integrate with sap Success Factors for employee data, organizational hierarchy, and user attributes required for the board’s workflows.
• API support: the platform must provide modern API interfaces for secure data exchange with the board’s systems.
• Event-driven integrations: support for scheduled or event-driven syncs must be included to keep Success Factors and the platform aligned.
• External system interoperability: the platform must integrate with email, teams, HR systems, and reporting tools (e.g., power bi).
5. Configuration and customization
• The platform must allow the board to configure workflows, rules, and templates without code where feasible, including communication and notifications in real time that are configurable, campaign announcements and reminders, nudges etc.
• The platform must allow for easy customization to align with the board’s branding, including colors, logos, videos and language preferences.
• Ability to modify recognition categories, reward types, and content to match evolving organizational priorities.
